Restaurant and Tasting Room General Manager

Willamette Valley Vineyards, a local producer of world-class wines, is seeking a Restaraunt and Tasting Room General Manager to oversee a Tasting Room and Restaurant in a soon-to-be-established location in Vancouver. For this role, we are seeking a driven, results-oriented, emotionally intelligent leader that takes ownership of the building and leads a team in creating a world-class, wine-focused experience for guests. This is a hands-on role with limited clerical support. 


The ideal candidate must be available to work peak customer days/hours, including weekends and evenings. As a leader, the Winery Restaurant Manager must possess empathy and the necessary leadership skills needed to motivate a team of varying personalities. The ideal candidate has a minimum of 10-years’ experience in customer-facing retail, restaurant, sales, or hospitality-related management and a proven track record for delivering operational success.

Requirements:

  • A minimum of 2 years of experience in managing a wine tasting room, restaurant, bar or other hospitality establishments.


Must have

  • A valid/current OLCC Server’s Permit and Food Handler’s Card.
  • Excellent communication skills.
  • Highly developed organizational and time management skills. 
  • Excellent interpersonal and supervisory skills, including the ability to lead and delegate tasks with effective follow-up.
  • Experience with budget management.
  • Supervisory experience.
  • A high degree of accuracy and attention to detail.
  • Ability to use standard CRM, Microsoft Office Suite, POS, and department-specific related software programs.

Salary:

Primary Job Responsibilities/Essential Functions:

  • Ensures a high-quality visitor experience consistent with the brand. 
  • Leads day-to-day operations of the Lake Oswego location and employees including staffing, training, ongoing coaching, and support, regular meetings, scheduling, payroll approvals, annual reviews with the development of individual work plans, development, and enforcement of checklists. 
  • Implements operational systems, processes, policies, and procedures in support of department mission – oversees that key metrics are tracked in a dashboard and visible to Winery Director and CEO weekly, monthly, quarterly, and annually. Provides suggestions on improvements. 
  • Serves as floor supervisor during peak traffic times including evenings and weekends. 
  • Works with kitchen staff on offerings, menu, POS, and service procedures. 
  • Maintains & updates menus in collaboration with the Winery Director or designee and marketing department. 
  • Works to build, engage and retain Customers for Life. 
  • Works to cultivate a strong Wine Club membership to support on-site visitation and sales goals. Motivates the team to hit sign-up goals through continual training and focus. Works closely with the Wine Club Manager on member recruitment and retention activities and programming. 
  • Supports company’s ownership recruitment activities when inactive offering periods. 
  • Maintains facilities including cleanliness, the orderliness of furnishings and displays, and addresses repair and maintenance issues. Prepares capital requests.
  • Leads team in setting and executing opening & closing procedures, light housekeeping, purchase transactions, hosting tastings and food pairings, promoting the sale of wine, promoting Wine Club memberships, & promoting non-wine merchandise. 
  • Point of contact for customer service issues. 
  • Conducts Pre-brief & Debrief and records minutes on peak traffic days and sends to Wine Club & Ownership Manager, Winery Director, and CEO. Sets follow-up action items and meetings as needed coming out of debriefing.
  • Financial/Inventory Control 
  • Works with the Direct Sales management team to prepare the annual budget. Implements budget by meeting sales goals and controlling expenses. Closely monitors staffing levels. 
  • Creates Daily Goals google doc via POS reporting from the previous year and budgeted goals & benchmarks set for the current year. 
  • Oversees daily & monthly inventory procedures and works with Operations Analyst, Direct Sales Admin, Accounting Manager, and CFO to set and enforce financial and inventory controls. 
  • Orders and maintains all inventory and supplies necessary for the successful operation. This includes wine, glassware, merchandise, kitchen supplies and ingredients, menus, brochures, tasting cards, bags, etc. 
  • Ensures use of the logo meets brand standards by getting approval from Marketing prior to ordering. 
  • Approves invoices up to spending limit weekly. Creates purchase orders for the manager to approve. 
  • Monitors cash registers & accounts for sales throughout the day. Reviews & observes video monitoring system, ensuring financial transactions occur in the camera’s view. 
  • Reviews reconciliation including reconciling poured wines, counting cash, balancing registers, inventory counts, ensuring that daily receipts are properly secured in the safe & all daily sales & recaps are documented. 
  • Investigate till discrepancies as provided by accounting. Records inappropriate google Docs & reports back to CFO, Accounting Manager on any recurring issues. 
  • Prepare bank runs including recording deposits & auditing cash bags for large bill exchange. 
  • Ensures tips, incentives & spiffs are reviewed, documented, audited, backed via POS & sent to accounting for payment to mee payroll due dates. 
  • Processes wine credits if employees earn incentives. Maintains google doc tracking form & updates list of wines available for purchase with points. 
  • Checks out deposit bags & deposit slips for daily Tasting Room cash & check deposits. 
  • Processes refunds equal to or greater than $100.00 
  • Develops, plans & implements new ideas to increase monthly sales including promotions, specials, or employee incentives. 

POS 

  • Serves as the POS point of contact for questions from employees or errors/issues with the system. 
  • Responsible for maintaining POS system, including requesting to Accounting new cashiers, SKUs, and permissions. 

Staff 

  • Leads team using a hands-on approach. 
  • Coaches and provides a lead by example presence in the Tasting Room. 
  • Assists with hiring & training of staff including Tasting Room Associates, Concierge, Kitchen staff, and Winery Ambassadors. 
  • Assists with training of PIC’s 
  • Stays up to date with current P&Ps and ensures new hires and existing employees are properly trained on them.
  • Sets employee goals and work plans to align with company objectives. 
  • Publishes and approves schedule each month. Schedules direct reports and shares with staff 7 days before the start of the month. A PIC is required to be always scheduled and present. 
  • Co-manages Winery Ambassador with Winery Ambassador Manager. 
  • Performs annual reviews for direct reports. 
  • Approves, edits, audits staff timecards. 
  • Facilitates orders of name tags, uniforms, business cards, and supplies needed for staff.

Other 

  • Manages the OWE/AWS point system & wines available for purchase with points.
  • Assists in planning on-site events. Lead for on-site event staffing. 
  • Monitor’s location email daily. 
  • Collaborates with all department managers towards profitability & helps drive the vision/mission of WVV. 
  • Recommends & implements sustainability & “green” practices that improve the company’s positive impact on the environment. 
  • Partners with local organizations to drive traffic to the tasting room. 
  • Uses location as a tool for distributed sales and assists with hosting of trade with the National Sales team. 
  • Uses location as a tool for marketing and brand awareness and assists with hosting of media with the Marketing team. 
  • Ensures all company policies and procedures are followed. Develops policies & procedures as needed. 
  • Other duties as assigned by the Development Manager, Winery Director, Operations Analyst, &/or the CEO.
