As an Administrative Assistant, you would be asked to assist office teammates and all customers by handling office tasks, providing polite and professional assistance via phone and e-mail, and generally being a helpful and positive presence in the workplace.

- Experience in office administration, scheduling, or customer service preferred; restoration industry experience is a plus.
Position Requirements:

Job Responsibilities
Client & Partner Communication
• Serve as the first point of contact for customers, insurance adjusters, and prospective clients via phone, email, and in-person interactions.
• Professionally represent ServPro during all communications, addressing inquiries and relaying messages to appropriate team members.
• Accurately document all interactions in company systems, ensuring clear and timely communication history for every job.
• Interface with property owners and insurance companies to facilitate communication, gather documentation, and coordinate approvals.
• Qualify inbound leads over the phone to determine service needs and schedule assessments.
Scheduling & Job Coordination
• Assist in the scheduling of restoration projects, coordinating technicians, subcontractors, and equipment availability.
• Assist with tracking job progress ensuring updates are accurately recorded and milestones are met.
• Communicate with crews and customers to confirm appointments, job timelines, and changes in schedule.

• Engage and schedule construction and remediation contractors as needed for project execution.
Warehouse Responsibilities
• Support receiving incoming shipments, deliveries and verifying packing slips
Documentation & Reporting
• Maintain detailed records of job files, work authorizations, insurance documentation, and customer communications.
• Input and update data in ServPro’s internal systems, ensuring accuracy and completeness for auditing and billing purposes.
• Draft weekly progress summaries and final job reports for internal tracking and customer records.
• Conduct periodic internal audits to verify the accuracy of job estimates and supporting documentation.
• Keep all project documentation current and audit-ready within ServPro’s software systems.
Office Administration & Support
• Support daily office operations, including filing, document preparation, supply ordering, and front desk duties.
• Assist with invoicing, timesheet collection, and basic data entry for payroll and accounting functions.
• Manage and monitor accounts receivable by following up on outstanding invoices and coordinating with customers for timely payments.
• Maintain a clean and organized office and warehouse environment.

Skills/Physical Demands/Competencies
This is a role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary.
