As Human Resources Business Partner, you will play a key role in supporting Plain Vanilla’s leadership team in managing and developing the company’s people operations. You will oversee HR policies, employee lifecycle processes, recruitment coordination for full-time roles, regulatory compliance, and internal HR systems to ensure that the organisation’s people practices remain structured, compliant, and aligned with business needs.
You will manage key HR functions including full-time recruitment coordination, employee documentation, onboarding and offboarding processes, HR policy development, foreign worker administration, and government reporting. You will also serve as a central point of coordination for HR-related matters across the organisation, working closely with leadership and operational teams to ensure clarity and consistency in HR practices.
This role ensures that Plain Vanilla’s HR processes, documentation, and compliance requirements are properly maintained while supporting the company’s continued growth.
Key Job Duties and Responsibilities
HR Policies & Systems
- Maintain and update the Employee Handbook and HR policy documentation.
- Develop and maintain HR Standard Operating Procedures (SOPs) to ensure consistency in HR processes.
- Manage the HR email alias (hr@plainvanilla.com.sg) and ensure HR communications are handled appropriately.
- Maintain HR-related documentation including policy updates, payroll FAQs, and reimbursement guidelines.
Recruitment & Hiring Management
- Manage the full recruitment lifecycle for full-time roles while overseeing the company’s broader recruitment processes, including part-time hiring supported by the HR & Admin Assistant.
- Partner with hiring managers and CEO to define role requirements (including drafting Job Descriptions) and hiring timelines.
- Prepare and manage job postings across recruitment platforms (e.g. Workstream, Careersfuture).
- Liaise with external recruiters and talent partners where required.
- Screen applications and coordinate interviews between candidates and hiring managers.
- Maintain and update the PV Recruitment Tracker / HR Matrix. Maintain and update the offer matrix, ensuring recruitment activity is properly implemented, documented and tracked across all hiring stages.
- Support hiring managers through the candidate evaluation and offer process. - Support the preparation of employment contracts and onboarding documentation, in coordination with the HR & Admin Assistant, following offer acceptance.
Employee Lifecycle Management
Onboarding
- Prepare and coordinate new hire orientation materials for a structured onboarding experience for new employees.
- Support onboarding processes led by the HR & Admin Assistant, ensuring alignment with HR policies and documentation standards.
- Provide guidance to the HR & Admin Assistant where required, to ensure new hires are accurately reflected in HR systems and personnel records.
Offboarding
- Conduct exit interviews and gather employee feedback. Conduct exit interviews and gather employee feedback, synthesising insights for review by the CEO and proposing improvements in collaboration with team leads to see through improvements.
- Coordinate the preparation of employee offboarding documentation such as
- Return of company property
- Acceptance of Resignation letters and related documentation
- Completion of IR21 tax clearance processes for foreign employees where required
Personnel Records & Documentation
- Oversee the maintenance of employee personnel files and employment documentation, coordinating with the HR Admin Assistant to ensure records remain accurate and up to date.
- Ensure employee information is accurately recorded and updated within HR records.
- Prepare and issue employment-related documentation including:
- Certification of Employment
- Internship completion letters
- Letters of recommendation
- Other HR-related letters as required
Government Reporting & Statutory Compliance
- Ensure accurate and timely submission of statutory reports including:
- CPF submissions
- IRAS reporting (IR21 clearance, IR8A)
- Occupational Employment Dataset
- Labour Market Survey
- Administer claims related to government-paid leave schemes (e.g. maternity and childcare leave).
- Support administration of NS reservist claims where applicable.
Foreign Worker & Work Pass Administration
- Manage matters relating to foreign worker employment compliance, including:
- Work pass applications, renewals, and cancellations
- Foreign worker quota monitoring and reporting
- Passport renewal coordination, security bond and air ticket procurement
- Maintain and update access to relevant government systems, including CorpPass for MOM platforms, OFWAS, and other applicable government portals.
- Monitor foreign worker quota utilisation using the Monthly Headcount Report – Quota Review report.
HR Operations & Internal Coordination
- Serve as the liaison between the team and Paloe on all payroll-related matters, assisting in the resolution of payroll queries.
- Work closely with internal teams to ensure HR processes remain aligned with operational requirements, and support HR announcements and internal communications where required.
- Maintain oversight of HR documentation and ensure HR records remain organised and accessible.
- Track employee leave records including:
- Public Holiday-in-Lieu / Off-in-Lieu balances
- Unpaid leave applications
- Annual expiring leave
- Manage monthly levy waiver submissions where applicable.
- Review and maintain the compensation and benefits framework, including assisting with salary benchmarking and maintaining the internal job evaluation grid and salary ranges.
- Work closely with team leads to support Learning & Development outcomes for the organisation, including identifying development needs and coordinating training initiatives where appropriate.
- Support the CEO’s employee engagement objectives with the Executive Business Partner to develop and implement initiatives that strengthen employee engagement and organisational culture.
General
- Complete other tasks as assigned by management.
Qualifications & Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 5+ years of experience in HR operations, HR business partnering, or people management roles.
- Strong understanding of Singapore employment regulations and MOM compliance requirements.
- Experience managing end-to-end recruitment processes and employee lifecycle management.
- Familiarity with HR systems and administrative processes related to payroll documentation, employee records, and government reporting.
- Strong organisational skills and attention to detail in managing HR documentation and compliance processes.
- Ability to work collaboratively with leadership and operational teams.
- Must be able to speak, read and write Mandarin.
