About the Role:
The Maintenance Dispatcher plays a key role in supporting our service team by ensuring that all customer maintenance services are scheduled, dispatched, and closed accurately. This position is essential for maintaining high contract renewal rates and assists the Lead Dispatcher with paperwork and payroll. The Maintenance Dispatcher also serves as a backup during peak times or in the absence of other team members.
Work Schedule:
Hours: Monday to Friday, 9:00 AM to 6:00 PM (additional hours may be required based on demand)
Rotation: Every third week, work as a Saturday Dispatcher from 8:00 AM to 4:00 PM. During that week, one weekday (Tuesday, Wednesday, or Thursday) may be taken off.
Reports to: Service Manager (for technicians and services) and Parts Manager (for policies, procedures, and workflow efficiency).
Key Responsibilities:
Communicate clearly and professionally with technicians, office staff, management, sales teams, and customers.
Attend service meetings, assist in setting agendas, and follow up on action items.
Coordinate technicians’ paperwork for office processing.
Daily Tasks:
- - Complete call-back reports.
- - Process technician timesheets and verify GPS reports.
- - Close contract maintenance invoices.
- - Confirm next-day preventive maintenance appointments.
- - Ensure all maintenance is scheduled and contracts are paid.
Weekly Tasks:
- - Provide filter lists for maintenance technicians.
- - Review issues and concerns with the Service Manager.
Monthly Tasks:
- - Run the Commercial Incomplete Maintenance Report during the last week of the month (all calls completed by the 1st of the month).
- - Run the Residential Open Call Report for maintenance and update SamPro by the month's end.
Additional Duties Include:
- - Handle customer inquiries regarding services.
- - Answer phones and assist co-workers as needed.

Qualifications & Skills:
- - Proficient in general office tasks (filing and typing at least 40 WPM).
- - Basic proficiency in Outlook, Excel, and Word.
- - Strong communication and customer service skills.
- - Ability to meet deadlines and work effectively as part of a team.
- - Attention to detail and excellent organizational skills.
- - Working knowledge of TMS and data processing.
- - Ability to prioritize, multitask, and thrive in a fast-paced environment.
