Jet Industries is growing our Arizona Service Division and looking for a Service Operations Specialist to support dispatch, estimating, and billing.
This is a fast-paced, hands-on role where you’ll work directly with field technicians, Service Managers, the Southwest Operations Manager, and the General Manager to keep jobs moving, customers informed, and work closed out clean. You’ll play a key role in daily operations with direct impact on scheduling, revenue,
and customer experience.
What You’ll Be Doing:
Dispatch & Scheduling
- Schedule and dispatch service calls based on priority, location, and technician skillset.
- Manage technician schedules across service and maintenance work.
- Adjust schedules in real time for emergencies, delays, and changes.
- Confirm appointments and communicate updates with customers.
Estimating & Work Orders
- Review technician notes, photos, and recommendations to build accurate estimates.
- Create proposals in ServiceTitan with clear scope, pricing, and material details.
- Coordinate with technicians and managers to confirm scope and pricing.
- Track open estimates and follow up to convert to approved work.
- Update work orders with approved scope and next steps.
Billing & Job Closeout
- Review completed work orders for accuracy, documentation, and job costing.
- Verify labor, materials, and notes are entered correctly.
- Ensure required photos, forms, and checklists are completed.
- Close out jobs and generate invoices in ServiceTitan.
- Work with Accounts Receivable on billing questions and corrections.
Customer Communication
- Serve as a main point of contact for customers throughout the job.
- Provide clear, timely updates on scheduling and job status.
- Handle incoming service requests and route appropriately.
- Resolve issues or escalate when needed.
- Basic Proficiency in English required. Candidates must have a basic understanding of English for safety purposes and to communicate with colleagues, vendors, and contractors on-site effectively. The ability to follow instructions and engage with the team is essential for success in this role.
Operations & Team Support
- Work closely with technicians, Service Managers, and leadership daily.
- Support scheduling, materials coordination, and job progress.
- Assist with maintenance scheduling and service agreements.
- Maintain organized job records in ServiceTitan.
What We’re Looking For
- Experience in dispatch, scheduling, estimating, billing, or service coordination.
- Background in HVAC, Plumbing, Electrical, or construction service preferred.
- Strong organization and communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Positive, team-oriented, and solution-focused
- Experience with ServiceTitan or similar software is a plus.
