Position
Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will act as a trusted partner to executives, managing schedules, coordinating communications, organizing meetings, and ensuring day-to-day operations run smoothly. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements
- Coordinate internal and external meetings, including preparing agendas, presentations, and meeting materials
- Screen and prioritize incoming communications (emails, calls, and messages)
- Track deadlines, follow up on action items, and ensure timely completion of projects
- Coordinate logistics for meetings, events, and executive travel (flights, accommodations, itineraries)
- Maintain confidential records and handle sensitive information with discretion
- Assist with project coordination and administrative support across departments
- Support operational tasks such as expense reporting, vendor coordination, and document management
- Identify opportunities to improve administrative processes and workflows
- Light accounting duties as needed – training will be provided
Required Qualifications
- 3–5+ years of experience supporting senior executives or leadership teams
- Exceptional organizational and time-management skills with the ability to prioritize multiple tasks
- Strong written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Proficiency with office productivity tools (Microsoft Office Suite, Google Workspace, etc.)
- Experience coordinating travel, meetings, and executive schedules
- Ability to work independently and anticipate executive needs
Preferred Qualifications
- Experience supporting C-suite executives
- Project management experience or certification
- Experience in a closely held family corporation

Work Environment

Pay Range:
$33.65 - $38.46 per hour
