Winery Ambassador - Inside Sales + Tasting Room Associate

Our Tualatin Estate Tasting Toom in beautiful Forest Grove is searching for high-end, customer service experienced and energetic individual to join our team of wine enthusiasts! This position is full time, and is a hybrid position that is both a Winery Ambassador (Inside Sales), and a Tasting Room Associate (serving position).

Position Overview:

  • Winery Ambassadors are responsible for successfully building and nurturing long-term relationships with our guests. You'll be hosting elevated experiences from winery tours, to food and wine pairings, connecting with guests, and following up on all their wine and service needs. This job does have required phone usage, so must be comfortable calling customers to discuss wine specials.
  • Tasting Room Associates are responsible for creating a world-class experience for guests by communicating the uniqueness of Willamette Valley Vineyards with a consistent and impactful brand message while delivering excellent customer service by greeting customers, pouring wines for tasting, and promoting the sale of wine and non-wine products.

Winery Ambassador Job Responsibilities:

  • Winery Ambassadors offer Willamette Valley Vineyards customers a pleasurable and memorable experience while selling them wine on-site or following up on their visits by staying in touch with guests by phone and email.
  • Prepare and conduct private elevated experiences, seated tastings, off-site events, and potential tours when assigned. These provide face-to-face opportunities to build leads and customers. 
  • Maintain updated customer relationship management software on all clients to track preferences and sales. 
  • Assure all orders are placed in a timely manner and necessary follow-up is completed, 
  • Attend monthly department meetings with the team to share your progress toward your monthly and yearly goals. Share ideas to help your teammates and sales promotions. 
  • Attend sales training, and wine education seminars and learn our wine portfolio, history, and stories that created the winery.
  • Plan strategically to maximize phone and face-to-face contact with clients.
  • Work efficiently with all departments of the company to ensure optimal customer service levels are being achieved and maintained. Consistently hit monthly sales targets.
  • Provide assistance in the Tasting Room when customer traffic dictates a need or as assigned by a manager.
  • Assist with answering incoming calls and responding to incoming chats on the website

Sales Expectations

  • Winery Ambassadors are expected to meet the performance standards outlined in the Commission's Policy & Procedure. These performance standards include meeting daily hosting and call volumes, being a participating team member, regular workplace attendance, and hitting sales goals.

Requirements

  • Must be able to lift 40 lbs.
  • Must be willing to work on-site winery events and weekends. 
  • Must have a valid OLCC permit and Food Handlers Permit or ability to obtain before starting. 
  • Must have highly developed organizational and time management skills, along with the ability to multi-task, work independently and as part of a team.
  • Must be able to communicate through active listening skills and gather accurate insights into human behavior.
  • Must have excellent interpersonal skills, and be independently motivated to generate sales for Willamette Valley Vineyards.
  • Must be able to meet and exceed sales goals. 

Tasting Room Associate Responsibilities:

  • Greet visitors to the winery and pour wine for tasting.
  • Promote the sale of wine, non-wine merchandise and the Wine Club.
  • Describe wines, winemaking techniques and winery history.  
  • Provide general tourist information.  
  • Handle routine purchasing transactions, which includes operating cash registers and accounting for daily sales throughout the day.  
  • Prepare shipping documentation and special items, when applicable, and ensure that wine is shipped to reciprocal states only and that correct shipping procedures are followed.     
  • Perform open and closing procedures, which may include locking/arming the facility, reconciling poured wines, counting cash, balancing registers, and ensuring that daily receipts are properly secured in the safe.    
  • Process wine orders.
  • Maintain non-wine merchandise, which includes folding clothes, stocking shelves, etc.
  • Maintain supply of clean glasses, washing and drying racks of glasses throughout the day.
  • Maintain daily supplies, which include bags, wine carriers, shippers, brochures, etc.    
  • Assist with monthly wine inventory.   
  • General housekeeping responsibilities, which include cleaning work area, wiping counters, dusting, bussing tables, refilling water stations, etc.  
  • Assist with On-site events.     
  • Assist with other duties as necessary.  

Other

  • Supports company’s effort to create a more sustainable and “green” environment to improve the company’s positive impact on the environment.

Requirements

  • Must be able to lift 40 lbs.
  • Must be willing to work on-site winery events. Most of these events are held over holiday weekends.
  • Must have highly-developed organizational and time management skills. Ability to multi-task, work independently and as part of a team. Build team dynamics and synergy across departments. Optimize resource potential.
  • Must be able to communicate through active listening skills and gather accurate insights to human behavior. Excellent interpersonal skills. Independently motivated to generate sales for Willamette Valley Vineyards.
  • Must be able to meet and exceed sales goals.
  • Track all hours worked by using the timecard function in the payroll software using the correct cost center.
  • Log all contact information in customer relationship management software within 24 hours of contact with a customer.
  • Other duties not outlined may be required as needed.
  • Must be team focused and be ready and willing to reasonably assist in other areas of the business as needed.

Other Skills/Abilities

  • Ability to use standard CRM, POS systems and Microsoft Office Suite.
  • Thorough understanding and genuine interest in luxury wine business and terminology.
  • Ability to educate customers about wine with passion not pretension.
