Overview
Electrical Works is seeking a highly organized Receptionist to join our office team. In this role, you will work closely with the Service Manager to manage technician schedules, track estimates and service tickets, and coordinate logistics that keep field operations running smoothly. The ideal candidate is proactive, detail-oriented, and adaptable—able to manage multiple priorities, adjust quickly when schedules change, and stay productive throughout the day. Knowledge of permitting processes is a plus, as you may occasionally assist with permit coordination to help keep projects on track.
Key Responsibilities
- Answer and route incoming phone calls and emails professionally and efficiently
- Serve as the first point of contact for customers, vendors, and internal team members
- Create and manage service tickets with accurate job details and documentation
- Prepare and generate customer estimates with precision and completeness
- Proactively follow up on outstanding estimates to support project progression
- Monitor jobs pending materials and coordinate internally to keep projects on track
- Coordinate and schedule technicians based on availability, job priority, and location
- Support the Service Manager with dispatch operations, including schedule preparation and real-time updates
- Manage and maintain the Estimate Board in Monday.com, ensuring all project statuses are current
- Perform accurate data entry for client records, orders, and scheduling updates
- Recognize sister company names and route calls or documentation appropriately
- Maintain lobby and common office areas in a clean, organized, and professional manner
- Assist with ordering and managing office and public area supplies
- Complete accurate and timely administrative documentation
Requirements
- High School diploma or GED required
- 1–2 years of experience in a customer-facing administrative or scheduling role preferred
- Strong organizational and time-management skills
- Exceptional attention to detail and accuracy
- Professional verbal and written communication skills
- Proficient in Microsoft Office, including Excel
- Ability to prioritize tasks and remain composed in a high-volume office environment
- Comfortable working independently and as part of a team
- Ability to navigate a company structure that includes multiple related entities
Preferred Experience
- Experience supporting scheduling or service operations in a construction or field-service environment
- Experience with Sage Intacct Field Operations
- Experience using Monday.com
- Familiarity with Levelset or similar lien waiver/compliance platforms
- Working knowledge of construction permits and general permitting processes
Work Environment
- Office-based position in a fast-paced operational setting
- Frequent phone and computer use throughout the workday
- Daily interaction with customers, field technicians, vendors, and management
- Must be able to sit, stand, and move throughout the office as needed
Schedule
- Monday through Friday
- 7:30 AM – 4:00 PM
- Work Location: Leesburg, FL (In Person)
