JOB TITLE: Administrative Assistant

REPORTS TO: Human Resources and the Director Of Finance 

JOB PURPOSE: The basic function of the Administrative Assistant is to ensure that the company responds quickly to requests and feedback from employees and clients. Assists with daily reports, billing and scheduling.

Rate of Pay $18.00 - $22.00

DUTIES & RESPONSIBILITIES:

 ●       Work with other administrative assistants

●       Orientations

●       Answer phones and greet visitors

●       Schedule appointments and maintain calendars

●       Schedule and coordinate staff and other meetings

●       Collate and distribute mail

●       Prepare communications, such as memos, emails, invoices, reports and other correspondence

●       Write and edit documents from letters to reports and instructional documents

●       Create and maintain filing systems, both electronic and physical

●       Manage accounts and perform bookkeeping

●       All office administrative duties

●       Additional projects as assigned

 

QUALIFICATIONS          

Education:

•     Required: High School graduate

•     Preferred: College degree BA or BS

Experience:

•     2 years’ demonstrated experience as an administrative assistant in an office setting.

•     Proficient in Microsoft and Google platforms is a must

•     Proficient computer

Knowledge & Skills:

•     Excellent written and oral communications skills, including:

-     Working knowledge of Spanish is desirable but not required.

-     The use of analytical and observational skills which demonstrate an ability to work unsupervised, supervise others, following company policy, interact with employees and

clients, and schedule work in stressful situations. 

Working conditions:

•      A fast-paced environment requires flexibility, adaptability and resilience in a wide variety of work situations.

•      Customer service may include interacting with challenging clients and tight deadlines.

•     General office environment, with low to medium noise, low to medium heat and cold, and low to medium dust levels.

•     May be exposed to high dust, heat and noise levels when visiting field job sites and/or client locations.

•     Occasional emergency calls after hours, holidays and on weekends.

Physical requirements:

●     Body Positions: Standing, sitting

●     Body Movements: Walking, stooping, bending

●      Sensory Abilities: Sighted, voiced, and hearing.  Close, color, and peripheral vision with ability to adjust eye focus.

●      Lifting: Low – up to 30 lbs.
