JOB TITLE: SALES SUPPORT SPECIALIST

JOB PURPOSE: The Sales Support Specialist plays a key role in supporting the sales team within the commercial cleaning industry by providing administrative and operational assistance. This position ensures the efficient execution of sales activities, helps maintain customer relationships, and contributes to the overall success of the sales department. Reporting directly to the Director of Sales, the Sales Support Specialist will assist in managing leads, preparing proposals, processing orders, and performing other duties to help drive sales growth and client satisfaction in the entire sales territory.

DUTIES & RESPONSIBILITIES:
- Sales Administrative Support:
- Assist the Director of Sales with sales-related administrative tasks such as preparing sales reports, proposals, and presentations.
- Maintain and update customer records and ensure accurate data entry in the CRM (Customer Relationship Management) system.
- Schedule meetings, appointments, and follow-up calls for the sales team.
- Lead Management:
- Assist in managing incoming leads and inquiries, qualifying prospects, and helping to organize outreach efforts.
- Track and follow up on leads to ensure no opportunities are missed.
- Prepare and maintain an organized lead database for the sales team.
- Client Communication & Relationship Building:
- Communicate effectively with potential and existing clients regarding inquiries, quotes, and follow-up communications.
- Coordinate and help schedule site visits or client consultations.
- Sales Tracking and Reporting:
- Help track sales progress, set reminders for follow-ups, and provide timely reports to the sales team on key performance indicators (KPIs) and goals.
- Assist with maintaining sales pipelines and reporting on sales activities.
- Marketing Support:
- Help coordinate sales campaigns or marketing efforts, including digital marketing support, email campaigns, and sales materials.
- Track the effectiveness of various sales and marketing initiatives.
- Customer Service and Problem-Solving:
- Serve as a point of contact for any customer service-related inquiries, escalating issues to the appropriate team members when necessary.
- Help maintain customer satisfaction and ensure that customer issues are addressed promptly.

QUALIFICATIONS:
Education:
- Required: High School graduate
- Preferred: College degree BA or BS in Marketing, Business or related field
Experience:
- 1-2 years of experience in a sales support or administrative role. Prior experience in a B2B environment, particularly in commercial cleaning or facilities management, is a plus.
Skills:
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Familiarity with CRM software (Salesforce, HubSpot, etc.).
- Strong communication skills, both written and verbal, with the ability to engage with a diverse client base.
- Excellent organizational and time-management abilities.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Self-motivated with the ability to work independently and as part of a team.

Knowledge & Skills:
- Excellent written and oral communications skills, including:
- Working knowledge of Spanish is desirable but not required.
- The use of analytical and observational skills which demonstrate an ability to work unsupervised, supervise others, following company policy, interact with employees and clients, and schedule work in stressful situations.
Working conditions:
- A fast-paced environment requires flexibility, adaptability and resilience in a wide variety of work situations.
- Customer service may include interacting with challenging clients and tight deadlines.
- General office environment, with low to medium noise, low to medium heat and cold, and low to medium dust levels.
- May be exposed to high dust, heat and noise levels when visiting field job sites and/or client locations.
- Occasional emergency calls after hours, holidays and on weekends.
