The Events Supervisor is an operational leadership role responsible for the smooth, consistent execution of all off-site Birds of Paradise events — overseeing manpower planning, on-ground operations, SOP compliance, and equipment upkeep. On non-event days, the role supports boutique operations alongside the Boutique Manager, helping to maintain consistent service standards across outlets.
(A) Events Operations
Event Service Delivery: Supervise events operations from delivery, set-up, service to tear-down according to company standards & standard operating procedures, including
- Timely and professional service delivery
- Set up according to brand visual merchandising guide
- Ensure service staff are well-groomed and briefed
- Proactive engagement with events customers and guests
- Prepare & serve gelato & complementary products
- Accurate cashiering & reporting (where applicable)
- Handle customer complaints and feedback with warmth and tact
- Safeguard gelato & complementary products quality and ensure proper handling
- Monitor performance of freezers throughout the event
- Manage stock movement and replenishment in a cost effective way
- Troubleshoot any issues that may arise with relevant technical knowledge and skills
- Conduct post-event debrief with the team to identify operational gaps and drive continuous improvement
- Serve as the primary point of contact on-site for event staff, vendors, and stakeholders during events
- Check in with customers to assess customers' satisfaction
- Train and guide new service crew in events service standards and SOP
Events Asset & Equipment Care: Proactively maintain events assets, freezers, equipment, table linens, table décor and events styling accessories, signage in tip-top condition according to company SOP, including
- Tracking and accounting of equipment and their usage and movement
- Coordinate timely repair, servicing or replacement of equipment, décor, signage etc. to avoid disruption to events
- Protect equipment with protective covers during transportation
- Proper storage of equipment in an organised manner
- Post-event cleaning of equipment and items
Event Manpower Planning: Plan manpower for events, including
- Coordinate the roster for all off-site events
- Balance staff scheduling against event demands, staff availability, and labour cost considerations
- Communicate roster assignments clearly and in a timely manner
- Manage last-minute roster changes (e.g. staff no-shows, urgent event additions) to ensure events remain adequately staffed
- Prepare reports and drive continuous improvement
(B) Boutique Operations
Boutique Service Delivery: On days where there are no events, support boutique operations alongside the Boutique Manager from opening to closing according to company standards & standard operating procedures, including
- Punctual boutique opening; quick & complete closing
- Proactive engagement with customers (walk-in, text, phone calls, etc.)
- Prepare & serve gelato & complementary products
- Accurate cashiering & reporting
- Handle customer complaints and feedback with warmth and tact
- Safeguard gelato quality and ensure proper handling
- Monitor performance of freezers throughout the day
- Receiving and delivery of goods at boutique
- Cleaning & maintenance
- Submit accurate and timely reports on cashiering, inventory, etc.
- Troubleshoot any issues that may arise with relevant technical knowledge and skills
- Ensure visual merchandising and signage are according to SOP
- Guide new service crew in the learning of technical skills and knowledge, and inspire them to deliver their best
- Create a nurturing environment through positive language, feedback and teamwork
- Undertake ad-hoc duties as reasonably assigned from time to time
WE ARE LOOKING FOR SOMEONE WITH / WHO IS
- A passion for events and customer service
- Strong sense of ownership and comfortable being the on-ground decision-maker
- Excellent organisational skills, able to juggle multiple moving parts (people, equipment, timelines) at once
- Calm and resourceful under pressure, with strong problem-solving instincts
- Meticulous, with a strong eye for detail, operational and SOP compliance
- Strong communication skills, able to lead and coordinate ground staff effectively
- Willing and able to work on-site at off-site event locations, including evenings/weekends as required
REQUIREMENTS & QUALIFICATIONS
- Minimum 2 years of experience in events operations, F&B operations, or a related field
- Prior experience supervising or coordinating a team of on-ground staff
- Experience managing rosters/scheduling for shift-based or event-based manpower
- Familiarity with event equipment handling and maintenance practices is a plus
- Willing to travel to off-site event locations and rove across boutique outlets as required
- 5-day work week, shift work, including weekends and Public Holidays
