JOB DESCRIPTION FOR SUPPLY CHAIN & FULFILMENT EXECUTIVE
The Supply Chain & Fulfilment Executive keeps Birds of Paradise running day to day — managing procurement and receipt of inbound stock (raw materials, consumables); keeping the Warehouse organised; & fulfilling outbound stock (gelato, consumables) to the Boutiques & End Customer (for eCommerce and Events). At its core, this is a Supply Chain role with a focus on customer-experience.
KEY RESPONSIBILITIES
PROCUREMENT (INBOUND)
- Source, evaluate and onboard suppliers for raw ingredients, packaging and consumables.
- Raise purchase orders and coordinate timely delivery of incoming inventory.
- Monitor supply risks including pricing, lead times, shortages and delivery terms.
- Receive and verify incoming deliveries against purchase orders and delivery orders.
- Track order history, usage and future stock requirements.
WAREHOUSE & INVENTORY OPERATIONS
- Maintain a clean, organised and safe warehouse in accordance with company SOPs and food safety requirements.
- Ensure proper labelling, storage and stock rotation based on FIFO/FEFO principles.
- Monitor stock levels across the warehouse and boutiques to support replenishment planning.
- Coordinate with Production to ensure sufficient raw materials are available for production schedules.
- Conduct regular stock counts, investigate variances and support corrective actions.
FULFILMENT (OUTBOUND)
- Coordinate stock fulfilment and deliveries to boutiques.
- Support fulfilment for eCommerce, events, catering, campaigns and corporate orders.
- Pick, pack and process customer and boutique orders accurately and on schedule.
- Coordinate drivers and third-party logistics providers to ensure timely deliveries.
- Manage delivery issues, returns and customer enquiries promptly and professionally.
INTERNAL PROCESS & CONTINUOUS IMPROVEMENT
- Develop and maintain SOPs, checklists and workflows for supply chain and fulfilment operations.
- Track operational data and identify bottlenecks, wastage and improvement opportunities.
- Support improvements in operational speed, accuracy and cost efficiency.
- Monitor and report relevant KPI and OKR progress.
- Support cross-border logistics processes as the company expands overseas.

Qualifications & EXPERIENCE
- Diploma in Supply Chain Management, Logistics, Business or related field
- 2–4 years of relevant experience in logistics, supply chain, or warehouse operations (F&B, retail, or FMCG backgrounds are a strong fit)
- Proficiency in Microsoft Office and Google Workplace
- Experience with an Inventory Management System
- Familiarity with food safety requirements (Halal, HACCP) is an advantage but not required
WORKPLACE
- 5-day work week, with one workday falling on one weekend day
- Must be willing to work on Public Holidays
- On-premises work in office, warehouse and freezer cold-room (-18°C freezer room for 15-20min to pack gelato)
