Requirements
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office equipment is beneficial.
- Excellent communication skills, both written and verbal, with a strong attention to detail.
- Ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
- Strong organizational skills and the ability to maintain confidentiality and professionalism.
- Experience in the restoration industry or related field is a plus.
Job Description
Position assists the business owners, management team and team members with a variety of tasks including
preparing payroll, processing invoices, answering phones, and scheduling appointments using multiple types
of software and interfacing with customers. Experience with Outlook and Excel are beneficial.
Prefer strong writing skills. Reports to the Office Manager and ensures that the front office runs at maximum
efficiency. Responsibilities include:
Telephone:
- Responding to all phone calls courteously and within 3 rings
- Converting estimating requests into sales appointments
- Expressing interest, sincerity, and friendliness in voice tone
- Properly processing service requests
- Operating telephone “hold” button properly
- Completing phone messages properly and delivering them promptly
- Checking answering service daily prior to 8:30 a.m.
- Using company phones for company business only
Appointments:
- Scheduling sales appointments for earliest possible date
- Completing estimate and job forms accurately, including directions to the customer’s location
- Confirming customer work orders 24 hours in advance
Processing Completed Work:
- Completing service check within two days of work completion
- Filing all copies accurately
- Sending invoice copies to customers on day received
General Office Skills:
- Demonstrating quality, accuracy, and neatness in typing and filing skills
- Understanding ServiceMaster systems and products
- Efficiently organizing and using work hours for maximum productivity
