Job File Coordinator

Job Type: Full-Time | On-Site
Pay: $20-$24/hour
Schedule: Monday-Friday 7-3pm
On-Call Stipend Included
What Is Mitigation?
Mitigation is the process of stopping and stabilizing damage
caused by water, fire, mold, sewage, or other disasters. Our team responds
quickly to limit further loss and works closely with insurance carriers and
self-paying customers. After mitigation is complete, our reconstruction team
restores the property to its pre-loss condition.

organized, detail-oriented professional to support team members and restoration
projects from start to finish. This role is ideal for someone who thrives in a fast-paced
environment, can balance multiple priorities with ease, and takes ownership of
results. Strong time management, organizational, and administrative skills are
essential, along with the ability to communicate clearly and maintain accuracy
in all documentation and processes. Proficiency in Microsoft Office and the ability
to quickly learn industry specific software are key to success in this
position.
Key Responsibilities
Promptly receive and enter lead calls and job referrals (First Notice of Loss – FNOL), ensuring accuracy, timely job setup and communication with
all team members.
Create and maintain complete job files and folders, collaborating with team members to ensure all required information is captured.
Track job progress and proactively follow up with team members to keep projects moving forward.
Maintain organized digital and physical filing systems accessible to relevant departments.
Ensure compliance with company processes, documentation standards, and timelines while supporting team accountability.
Scheduling & Coordination
Coordinate scheduling with customers, subcontractors, and team members to support efficient job flow.
Communicate availability, timelines, and updates clearly across departments to prevent delays or confusion.
Provide customer support by answering questions, gathering needed information, and updating them on job progress.
Collaborate with Restoration Managers, Supervisors, and field staff to resolve scheduling conflicts and maintain workflow continuity.
Communication & Customer Support
Answer a high volume of incoming calls with professionalism, empathy, and a team-oriented mindset.
Communicate effectively with customers, adjusters, subcontractors, other departments, and other franchise locations via phone and email.
Clearly explain the mitigation process and next steps, ensuring customers and team members share aligned expectations.
Support seamless handoffs between mitigation, estimating, and reconstruction teams through clear communication and coordination.
Team & Administrative Support
Partner closely with Restoration Managers and Supervisors to support job setup, administrative needs, and follow-up tasks.
Create and distribute clear, accurate work orders to field crews, ensuring expectations are understood.
Maintain complete, accurate, and audit-ready job files that support transparency and collaboration across teams and franchise locations.
Qualifications
High School Diploma or GED required, Associate’s degree a plus
Intermediate level in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong phone and communication skills
Ability to learn industry-specific software (Xactimate, Docusketch, Workcenter)
Excellent organizational and time management skills
Self-starter with the ability to prioritize and complete tasks independently
Valid driver’s license with a clean record
Work Environment
This role is primarily
office-based and sedentary. Some filing and physical organization tasks are
required, including lifting files, opening cabinets, bending, and using stairs
as needed. On rare occasions, you may visit a job site, where you could be exposed
to noise, dust, odors, or varying temperatures.
