Event Sales Coordinator, TRUSS Cleveland

Position Summary

The Sales Coordinator plays a key role in both the planning and execution of events, acting as a key part of both sales and operations team. This role supports the sales process by assisting in event planning, vendor coordination, client tours, and final walk-throughs, while also working closely with the Operations team and assisting the Sales Team with client and vendor relations during event to ensure professional, seamless and high-quality client experience.


Key Responsibilities


Pre-Event Planning & Sales Support

- Partner with the Sales Mangersto support event planning from contract through execution

- Assist Sales Managers withclient tours, site visits, planning meetings and final walk-throughs to review event details and logistics

- Coordinate with internal management and external vendors (AV, décor, rentals, entertainment, etc.) to ensure event requirements are met

- Confirm vendor details,delivery schedules, and setup requirements prior to event day

- Attend weekly BEO (Banquet Event Order) meetings and collaborate with the management team on event planning, logistics, and execution details Event


Execution & Operations Support (Day-Of)

- Assist the Sales Manager with client relations on-site during event execution, helping to address client needs promptly and professionally

- Work directly with the Banquet and Operations Managers on event day to assist them as needed in  executing the event according to the approved plan

- Support on-site communication between clients, vendors, and internal teams

- Coordinate and manage on-site vendors

- Proactively identify and resolve client or vendor issues in real time while maintaining a calm, client-focused positive presence


Post-Event & Administrative Support

- Assist with post-event follow-up, including client feedback and internal debriefs


Qualifications

- 2+ years of experience in event coordination, event sales, venue management, or a related field

- Strong organizational and time-management skills with exceptional attention to detail

- Values teamwork and works collaboratively to achieve shared goals 

- Maintains composure and contributes positively as a teammate in a fast-paced environment

- Excellent interpersonal and communication skills, with confidence and professionalism in client-facing situations

- Ability to manage multiple event needs and tasks simultaneously

- Willingness to work flexible hours, including evenings, weekends, and holidays as required by event schedules

- Proficiency with Triple Seat and Prism event management software, Magin Edge, Microsoft Office
