Front Desk Coordinator

Core Role Summary

The Front Desk Coordinator manages all front desk operations and serves as the first point of contact for customers and walk-in visitors. This role ensures a welcoming and organized front office environment while capturing accurate customer information and routing requests to the appropriate team members.

 

The Front Desk Coordinator is responsible for handling general inquiries, creating customer contact records and service requests in the system, coordinating pickup and delivery scheduling, and supporting smooth day-to-day front office operations.

 

This role focuses on customer intake, communication routing, and office coordination, ensuring that customer requests are properly documented and directed to the appropriate internal team for estimating and project management.

 

Areas of Responsibility

1. Front Desk & Office Operations

Serve as the primary front desk contact for the business and maintain an organized and welcoming office environment.


Responsibilities

·      Greet and assist walk-in customers and visitors

·      Answer and route incoming phone calls

·      Serve as the point of contact for general inquiries

·      Maintain a clean, organized, and professional front office environment

·      Monitor front office supply levels and notify procurement when supplies need to be replenished

·      Receive and distribute incoming mail and packages

·      Prepare outgoing mail and shipments and coordinate carrier pickups when needed


2. Customer Intake & Contact Creation

Own the initial set-up of customer information and service requests in the system.

 

Responsibilities

  • Create and maintain customer contact records
  • Enter new service requests/opportunities into the system
  • Capture accurate customer contact information and project details
  • Upload photos or documentation provided by customers
  • Ensure all required intake information is complete before routing the request to the estimating team

 

3. General Inquiries & Shared Inbox Monitoring

Manage incoming communications from general inquiry channels and ensure requests are addressed or routed appropriately.

 

Responsibilities

  • Monitor the general inquiries email inbox
  • Respond to basic questions when appropriate
  • Route customer inquiries and service requests to the appropriate internal team members
  • Ensure all incoming inquiries are acknowledged and properly documented in the system

                                       

4. Pickup & Delivery Scheduling

Coordinate scheduling logistics and properly document incoming customer items.

 

Responsibilities

  • Schedule pickup and delivery appointments with customers
  • Coordinate scheduling details with the operations team
  • Confirm appointment details with customers
  • Receive customer item drop-offs at the front desk
  • Document items received, including customer information and service request details
  • Ensure items are properly labeled and communicated to the appropriate production team
