Video: Coupa Cafe Automates Hiring

Camelia Coupal and Jean Paul Coupal managed to get rid of their previously cumbersome and manual hiring process ever since they started using Workstream.

 

Coupa Cafe was founded in 2004 here in Palo Alto, right here where we are in this building. And since then, we’ve grown to 10 locations in the Bay Area. We started to grow organically in Coupa, from one location to 10 over the past few years. And, within that process, hiring is more and more difficult in the Bay Area. It got to the point where we had to hire like an in-house recruiter, to try to find employees. Everything was very manual before - lots of paper, lots of kind of misfiling and so, lots of random Excel spreadsheets where you couldn’t really figure out where people were. 

And it was also really hard to kind of get a hold of candidates that were applying - they wouldn’t answer the phone, some of them wouldn’t have an email. And once Workstream came along, everything completely changed for us. 

For us, I would say Workstream is the most efficient way to recruit new employees. With the simple ability to just publish a job, and publish it to 10 different platforms at the same time with a click of a button, it was a huge game changer for us. 

SMS is like a key feature to be able to communicate with them back and forth during the application process. Even if it’s just to send them a link to fill out a document, or get their availability or whatever it is.

Workstream has helped us better hire the people we are looking for with the communication tools. Being able to like ask them what’s your availability or are you available Saturdays and then they say no I’m not. And then, that position requires Saturday so don’t even bring him in. 

The top features that Workstream has that changed hiring for us are, two-way SMS, ability to post an ad on several different platforms at once, and the organizational charts. So we can even schedule for certain positions that have like let’s say drug testing, or background checks, like it’s all on one click. It gives us the guidelines on what’s the next step and where we’re at. So it makes us continue to be efficient in making sure that everything is checked off correctly.
